1. Introduction

Thank you for visiting the website of Divine Technology Systems ("DTS", "we", "us" or "our"). We respect your privacy and are committed to protecting it. This Privacy Policy explains what information we collect, how we use it, who we share it with and the choices you have.

This policy applies to information collected through our website (https://DTSChurch.com), our client portal, the forms and emails we send, our consulting, development and support services for Rock RMS, and our products, including Strata (together, the "Services"). If you do not agree with this policy, please do not use our Services.

2. What information we collect

Information you give us

We collect personal information you choose to provide when you contact us, request information, sign up for a product or service, complete a form or survey, sign a document electronically or otherwise communicate with us. This may include:

  • Your name, email address, phone number, church or organization, and role or title
  • The content of your messages, form answers and survey responses
  • Information in documents you sign or upload, such as a consent form or a copy of a policy
  • Billing information, if you pay us for services

Information collected automatically

When you use our website and portal, we automatically collect certain technical information, such as your IP address, browser and device type, the pages you visit, the date and time of your visit and the page that referred you. When you sign a document electronically, we also record the signer's name, email address, date and time and IP address as part of the signature record.

Information from our church clients' systems

When we provide services to a church, we may access information stored in that church's systems, such as its Rock RMS database. That information is described in section 5.

3. How we use your information

We use the information we collect to:

  • Provide our Services and the information, materials or support you request
  • Respond to your questions and service requests
  • Send you notices about your account, agreements, renewals and the Services, including updates and changes
  • Send information about our products and services that you have asked for or that relate to services you use (you can opt out of marketing emails at any time)
  • Carry out our obligations and enforce our rights under our agreements, including billing and collection
  • Keep a record of the choices and consents our clients give us, such as their AI use consent
  • Understand how our website and Services are used so we can improve them
  • Protect the security of our systems, our clients and our users, and prevent fraud or misuse
  • Comply with the law

4. Personal links in our emails

Some emails we send, such as a request to review and sign a form, contain a personal link that identifies you and signs you in to that page only. These links expire, and they are meant for the person they were sent to, so please do not forward them. If someone else should handle a request, use the option on the page to ask them, and we will send them their own link.

5. Data we handle for our church clients

Our church clients use Rock RMS and other systems to keep information about their members, attenders, donors, volunteers and staff. When a church engages us, we may access that information to configure, support, develop for or troubleshoot its systems.

  • The church controls its data. We process it on the church's behalf to provide and support the services the church asked for, including maintaining and improving Strata as described in section 7, under our agreement with the church.
  • We limit access to the DTS team members who need it for the work, and we follow the church's security settings and instructions.
  • We do not sell church data or use it for our own marketing.
  • If you are a member or attender of a church we serve and have questions about your information, please contact your church first. We will help the church respond to your request.

6. How we use AI

We use AI as an assistant to our team, never as a replacement for it. It may help us write and check code, draft documentation and, where a church allows it, review data in that church's systems.

  • We use AI with a church's data only with that church's written consent, and only to the extent the church allows. Until we have a church's signed AI use consent, we do not use AI tools that touch its data.
  • We use AI services only under business (commercial or API) terms that do not allow the provider to use the data we send to train its models. We do not use consumer or free AI plans for client data.
  • Under those terms, a provider may keep the data we send for a limited time, typically up to 30 days, to detect abuse and misuse, unless a zero-data-retention arrangement applies.
  • A DTS team member reviews AI-assisted work before it reaches a client's environment.

7. Strata, our AI tool

Strata is an AI tool from DTS that connects to a church's Rock RMS system so the church's staff can get help with their work. This section explains what information Strata handles and how. It applies in addition to the rest of this policy and to the church's agreement with DTS.

What Strata processes

  • Account information for the church's users, such as name, email, role and the permissions the church assigns
  • Tool calls: the requests an AI makes to Strata to look up or act on church data, and the church data that goes into and comes back from those requests. Strata works within the access the church grants, and the church can keep areas such as giving off-limits.
  • Prompts and responses, only when the church uses AI that DTS provides. When a church uses its own AI tool, Strata does not receive or keep its prompts or responses.
  • Usage information, such as when Strata is used and how much, so the church can set and track usage limits

How Strata works with AI

A church can use Strata in one of two ways:

  • With the AI tool the church chooses. The church connects the AI tool or app it chooses to Strata's MCP server. The church's conversations, including its prompts and the AI's responses, stay with that provider under the church's agreement with it, and DTS does not receive them. Strata receives only the tool calls the AI makes and the data passed into and returned from those tool calls. Because the provider's terms govern how it handles those conversations, including any church data Strata returns, we recommend that churches use a business plan. Consumer and free plans may allow the provider to use conversations for training.
  • With AI that DTS provides. Strata sends the prompt and only the church data needed to answer it to an AI model provider under DTS's business agreement with that provider. These terms do not allow the provider to use the data to train its models. As described in section 6, the provider may keep it for a limited time to detect abuse.

DTS does not use a church's data, tool calls, prompts or responses to train AI models, and does not sell them. We do use Strata activity records to keep Strata working well: authorized DTS staff may review sessions, such as ones where a tool call failed or a result looked wrong, to fix problems and improve Strata's tools, instructions and safeguards. We limit this to what is needed for that purpose and do not use it for anything else.

Who controls it

  • The church decides who can use Strata, which skills and data each role can reach, and how much each person or team can use.
  • Church data used by Strata belongs to the church and is handled as described in section 5.
  • We keep records of Strata activity for security, support, troubleshooting and usage limits. These records include tool calls and the actions taken. They include prompts and responses only when the church uses AI that DTS provides. We keep them for as long as our agreement with the church provides. A church may ask us to delete its Strata records, subject to legal requirements.

If you sign up to hear about Strata, we use your name, email and church only to tell you about Strata and related DTS services. You can ask us to stop at any time.

8. Will your information be shared with anyone?

We only share information with your consent, to comply with laws, to protect rights, or to fulfill business obligations. Specifically, we may share information with:

  • Service providers who help us run our business and the Services, such as hosting, email delivery, payment processing and AI model providers. They may use the information only to provide services to us.
  • Your church, when you interact with us on its behalf (for example, the answers and signature on a form your church asked you to complete)
  • Authorities or others, when required by law or legal process, or when needed to protect the rights, safety or property of DTS, our clients or others
  • A successor organization, if DTS is involved in a merger, acquisition or sale of assets, subject to this policy

We do not sell your personal information, and we do not share it for third parties' advertising.

9. Cookies and similar technologies

Our website uses cookies to keep you signed in, remember your preferences, keep the site secure and understand how it is used. You can set your browser to refuse cookies, but parts of the site, such as signing in, may not work without them.

10. Social logins

If you choose to register or sign in using a third-party account, such as Microsoft or Google, we receive certain information from that provider, such as your name and email address, according to your settings with them. We use it only to sign you in and maintain your account.

11. Third-party websites

Our Services may link to other websites, online services or applications that we do not control. We cannot guarantee the safety and privacy of data you provide to third parties, and data they collect is not covered by this policy. We are not responsible for the content or the privacy and security practices of any third parties. Please review their privacy policies.

12. How we keep your information safe

We use administrative, technical and physical safeguards designed to protect your information, including encrypted connections, access controls and limiting access to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

13. How long we keep your information

We keep personal information for as long as we need it for the purposes described in this policy, such as providing the Services, keeping records our agreements require and meeting legal, tax and accounting obligations. Signed documents, such as consent forms, are kept as long as they are relevant to our relationship with the church. When we no longer need information, we delete it or make it anonymous.

14. Children's privacy

Our website and Services are not directed to children under 13, and we do not knowingly collect personal information from them through our website. Churches we serve may keep information about children in their own systems; we handle that information only on the church's behalf, as described in section 5. If you believe a child has given us personal information, please contact us and we will delete it.

15. Your choices and rights

  • Marketing emails: you can unsubscribe using the link in any marketing email, or by contacting us.
  • Access, correction and deletion: you can ask us for a copy of the personal information we hold about you, or ask us to correct or delete it. We will respond as required by applicable law, and we may need to verify your identity first.
  • Information held for a church: please contact the church directly. We will support the church in responding.

Depending on where you live, you may have additional rights under local law. To make a request, contact us using the details below.

16. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above, and for significant changes we will provide additional notice, such as on our website or by email.
